Governance policies

Non-profit purpose and use of funds

All income, donations and grants received by the association are applied solely to its stated community objectives and reasonable operating costs. No part of the association's income or assets is distributed as profit, dividend or personal benefit to members, officers or volunteers.

Committee structure and decision-making

The association is governed by an elected committee that includes a Chairperson, Secretary and Treasurer. The committee meets regularly, records written minutes for each meeting, and approves programs and expenditure collectively rather than individually.

Financial records and accounting

The Treasurer maintains records of all receipts and payments. Accounts are reviewed by the committee and reported to members at the annual general meeting. Supporting documentation is retained for inspection in line with Vanuatu's requirements for incorporated associations.

Conflict of interest

Committee members must declare any personal, family or business interest in a matter under discussion and step back from the related decision. Declarations are recorded in the meeting minutes.

Non-discrimination and inclusion

Participation in our programs is open to all members of the community regardless of island of origin, language, gender, age, disability, religion or political affiliation.

Child and vulnerable person safety

Activities involving children or vulnerable adults are supervised by at least two responsible adults, and volunteers are briefed on expected conduct before taking part.

Public accountability and complaints

Anyone may request information about our activities or raise a concern by contacting the Secretary using the details below. We aim to acknowledge every enquiry and respond substantively as soon as we reasonably can.
